We are considering the move to credit card on file. Is this something other clinics have implemented, and can you give suggestions on work flow, patient awareness and consent forms that must be signed?

Hi Dawn,

We have implemented a Credit Card on File Policy with our patients since 2019. We are an independent cosmetic and medical dermatology practice in Charlotte, NC. Given the changing environment in healthcare where more responsibility of payment is being placed on the patient, it became necessary to ensure we have a guarantee of payment on file in our office.

You can review our policy and FAQs that we organized for our patients:
https://charlotteskinandlaser.com/patient-information/credit-card-on-file-policy/

You can also review our Credit Card on File Policy form that we have all medical dermatology patients sign here: https://charlotteskinandlaser.com/patient-information/patient-forms/

If patients are uncomfortable leaving a credit card on file, we will pre-collect $150 deposit for the appointment and refund any credit less patient responsibility once we receive EOB from insurance. There was initial pushback by patients; however, we remained consistent in our policy and rarely run into issues now.

Please let me know if you have any questions.

Best,
Debbie Ouvier
